Before we move on to the templates websites, let’s take a look at how to use the stuff that you have downloaded.
How to use free project management templates
All over the internet, you can find free project management templates. There are both Word and Excel versions. Some templates are compatible with Google Docs/Drive. Others are specific to the platform that provided the template.
However, the quality of free templates can vary greatly. Some templates are extremely detailed while others are very high-level. My first tip is to search around for the right one for you and that suits your project management environment.
Here are some additional tips for using free templates.
Modify the headers and footers
To reflect your project name and details, you will need to modify the headers and footers of the document.
Add your logo
You can change the logo on the template to match your organization’s. You can also choose not to use a logo.
Update fonts
Change fonts to corporate fonts – this is a big giveaway when you share documents internally!
You have two options: change the font in the document style or select all text (Ctrl+A) on your PC and then update to the font you choose.
Do not download templates from sites you are unsure of the source. To minimize the risk of accidentally downloading viruses, don’t take chances downloading files from sites that look suspicious.
Edit!
Edit, edit, edit! Modify the template to fit your needs. You might not find the template you downloaded to be appropriate for your company.
You are free to modify the documents to make them more useful. You can add sections and remove sections. A template is not a blank slate.
Keep the original
The template can be saved as a blank file. You can then save another copy with a file name that is related to your project. Fill in the copy, leaving the blank version unaltered.
This makes it easier to use the template again, especially if you have deleted large chunks of it because the contents weren’t relevant to your first project: but don’t! All those sections that were deleted are needed for your next project.
Remember to check that you have permission before downloading and using templates. Many sites allow you to download files for personal use, but they will have restrictions such as. You can’t share them (as if!). You must follow the rules and be honest when sharing templates that others have given to you. Let’s go!
